User Management
The Members tab in Organization Management lets you manage all users in your organization.
Pending Approvals
When users self-register to join your organization, they appear in the Pending Approvals section (highlighted in yellow).
For each pending user, you can:

| Approve | Activate the user's membership (they can now access the platform) |
| Reject | Deny the request and remove the user |
Auto-Activation
You can enable auto-activation in Settings to skip this approval step.
Members List
All active and suspended members appear in the main list.
Member Information
Each member shows:
- Email: User's email address
- Role badge:
admin,author, orparticipant - Status badge:
activeorsuspended
Adding a New Member
Click Add Member to invite a user:
- Email: Enter the user's email address
- Password:
- For new users: Enter a password (min 6 characters)
- For existing users: Leave empty (they keep their current password)
- Role: Select
Participant,Author, orAdmin - Click Add Member
The user is immediately added with active status (no approval needed for admin-invited users).
Editing a Member
Click Edit to modify a member:
- Role: Change between Participant, Author, and Admin
- Assigned Tracks: Select which tracks this user can access as a participant
Click Save Changes to apply.
Resetting a Password
Click Reset Password to generate a new temporary password:
- Confirm the action in the dialog
- A new password is generated and displayed
- Copy the password and share it securely with the user
- The user should change it after logging in
WARNING
The temporary password is only shown once. Make sure to copy it before closing the dialog.
Suspending a Member
Click Suspend on an active member to temporarily disable their access:
- The user cannot log in while suspended
- Their data is preserved
- They can be reactivated later
Reactivating a Member
Click Reactivate on a suspended member to restore their access.
Removing a Member
Click Remove to permanently remove a user from your organization:
- Confirm the action in the dialog
- The user loses all access to your organization
- Any active runs by this user are stopped
WARNING
This action cannot be undone. The user would need to be re-invited to rejoin.
User Roles
| Role | Capabilities |
|---|---|
| Participant | Run published scenarios, view assigned tracks |
| Author | Create, edit, publish scenarios + all participant capabilities |
| Admin | Manage users, settings, usage + all author capabilities |
Multi-Organization Membership
A user can be a participant in multiple organizations, but can only be an author or admin in one organization.
Membership States
| Status | Description |
|---|---|
pending | Waiting for admin approval (self-registered users) |
active | Full access to the organization |
suspended | Temporarily disabled (can be reactivated) |
